These terms exist not as a wall between us, but as a foundation beneath us. A clear and honest record of what we each agree to bring to this collaboration. Please read them carefully. If anything is unclear, we welcome the conversation before anything is signed.

By accessing this website or commissioning Klio Media, you confirm that you have read, understood, and agreed to these terms in full.

01 — The Agreement

When a client commissions Klio Media, both parties enter into a creative collaboration governed by these terms alongside any bespoke commission agreement issued at the time of booking. In the event of any conflict between these terms and a signed commission agreement, the commission agreement takes precedence.

02 — Bookings & Retainer

A commission is considered confirmed only upon receipt of a signed agreement and a non-refundable retainer fee, the amount of which will be specified in your commission proposal. This retainer reserves your date exclusively and compensates Klio Media for the creative consultation, preparation, and planning that begins long before the wedding day itself.

No date is held without a signed agreement and retainer in place.

03 — Payment Schedule

The remaining balance is due no later than thirty days prior to your wedding date. Klio Media reserves the right to withhold delivery of all final work until the full balance has been received. Payment schedules will be outlined clearly in your individual commission agreement.

Late payments may delay delivery timelines. We will always communicate openly if this arises.

04 — Cancellations & Postponements

By the client: Should you need to cancel your commission, the retainer is non-refundable in all circumstances. If cancellation occurs within ninety days of the wedding date, the full balance remains due. We understand that life is unpredictable. If you need to postpone, we will do everything reasonable to accommodate your new date, subject to availability.

By Klio Media: In the unlikely event that Klio Media must cancel due to circumstances beyond our control, including serious illness, family emergency, or an event of force majeure, we will endeavour to recommend a photographer or filmmaker of comparable standard and will refund all payments made in full. Our liability does not extend beyond this.

05 — Creative Direction & Artistic Authorship

Klio Media approaches every commission as an artist, not a vendor. While we will listen carefully to your vision and incorporate your preferences thoughtfully, final creative decisions, including composition, editing style, color treatment, and curation, rest with Klio Media.

We do not offer unedited files, raw footage, or images outside of the curated final archive. The work delivered is a finished piece, not a collection of materials.

Specific shot lists may be shared for family formals and key moments, and we will honour these with care. Beyond these agreed moments, we ask that you trust us to see what you might not have thought to ask for. That trust is where our best work lives.

06 — Delivery & Archives

Delivery timelines will be specified in your commission agreement. As a general guide, wedding films are delivered within twelve to sixteen weeks of the wedding date, and photography archives within eight to ten weeks. These timelines reflect the devotion we bring to the editing and curation process, not inefficiency.

Final archives are delivered via a private, beautifully presented online gallery. Files are available for download in high resolution. We recommend downloading and backing up your archive promptly upon receipt. Klio Media retains delivery links for twelve months following delivery.

07 — Intellectual Property & Licensing

All photographs, films, and creative works produced by Klio Media Co. remain the intellectual property of Klio Media Co. All rights are reserved.

Upon full payment, clients are granted a perpetual, non-exclusive personal use license. You may print, share, and display your images and films freely for personal, non-commercial purposes. You may not copy, reproduce, redistribute, sell, or sub-license any material from Klio Media without prior written consent.

Commercial use of any Klio Media work requires a separate licensing agreement. This includes use in advertising, editorial publications, brand campaigns, or any paid context.

Klio Media reserves the right to use images and films from any commission for portfolio, website, editorial, and award submissions, unless a written request for privacy has been made at the time of booking. We handle such requests with complete discretion and without question.

08 — Cookies

The Klio Media website uses cookies to personalise your experience and support the operation of the site. By continuing to use klio.media, you agree to the use of required cookies.

Cookies are small text files placed on your device by the website server. They cannot run programmes or deliver viruses. Some cookies are strictly necessary for the site to function and do not require your consent. Optional cookies, including those used for statistical or marketing purposes, may be accepted or declined at your discretion.

09 — Website Disclaimer

The information on this website is provided in good faith. Klio Media Co. does not warrant the completeness or accuracy of any content on this site, nor do we guarantee that the website will remain continuously available or fully up to date.

To the maximum extent permitted by applicable law, we exclude all representations, warranties, and conditions relating to this website and its use. Nothing in this disclaimer will limit or exclude liability for death or personal injury, fraud or fraudulent misrepresentation, or any liability that cannot be excluded under applicable law.

10 — Privacy

We take the privacy of our clients seriously. Personal information shared during the inquiry and booking process is used solely for the purposes of delivering your commission and communicating with you. We do not sell, share, or distribute client information to third parties.

For clients who wish for their wedding to remain entirely private and unpublished, please inform us at the time of booking. We will honour this completely.

11 — Liability

Klio Media carries full professional liability and equipment insurance. In the unlikely event of equipment failure, data loss, or unforeseen circumstances on the day, we will exhaust every means available to us to recover and deliver your work.

Our total liability in any circumstance is limited to the total amount paid by the client. We cannot be held responsible for circumstances beyond our reasonable control, including venue restrictions, adverse weather, or third-party interference.

We strongly recommend that all clients take out independent wedding insurance to protect against circumstances outside the control of any vendor.

12 — Conduct & Working Conditions

We ask that clients ensure Klio Media is able to work safely, freely, and with the access necessary to do our work well. This includes reasonable access to all key moments of the day, a meal provided during long commissions, and respectful working conditions throughout.

We reserve the right to withdraw from a commission without refund in circumstances where these conditions are not met, or where our team is subjected to behaviour that is abusive, threatening, or otherwise unreasonable.

13 — Governing Law

These terms are governed by the laws of the province of British Columbia, Canada, and any disputes shall be subject to the exclusive jurisdiction of the courts of that province.

14 — Changes to These Terms

We reserve the right to amend these terms and conditions at any time. Any changes will be reflected on this page with an updated date. By continuing to use this website or engage our services, you agree to be bound by the current version of these terms.

We have written these terms as plainly and honestly as we know how. They exist to protect both of us, to ensure that what we create together is built on a foundation of clarity and mutual respect.
