When you submit an inquiry, sign a commission agreement, or communicate with us, we may collect your name, email address, phone number, wedding date and location, and any personal details you choose to share in the course of our correspondence. We collect only what is necessary. We do not ask for more than we need.

You may choose not to provide us with personal information, though doing so may limit your ability to use certain features of the website, including submitting an inquiry or contacting us directly.

When you visit klio.media, our website may collect certain technical information automatically, including your IP address, browser type, device type, time zone, pages visited, and how you interact with the site. This information is used to identify potential cases of abuse, maintain website security, and understand how the site is used in aggregate. It is not used to identify you personally.

In the event of a business transfer or acquisition, in which case you will be notified in advance.

08 — Your Privacy at Events

When we photograph or film a wedding or private event, other individuals beyond our commissioned clients may appear in the work. We handle this with sensitivity and discretion.

If you are a guest who appears in Klio Media work and you have concerns about your image, please contact us directly. We will respond thoughtfully and take reasonable steps to address your request.

For clients who wish for their wedding to remain entirely private and unpublished, please inform us at the time of booking. We will honour this completely, without question.

09 — How Long We Keep Your Information

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected or to meet our legal obligations.

Client correspondence and commission records are retained for a period of seven years following the completion of a commission, in accordance with standard Canadian business record-keeping requirements. Website analytics data is retained for a maximum of twenty-six months. Your final image and film archive is stored securely for twelve months following delivery, after which delivery links may expire. We strongly recommend downloading and backing up your archive promptly upon receipt.

10 — Information Security

We take the security of your personal information seriously. All data transmitted through our website is protected using reasonable administrative, technical, and physical safeguards against unauthorised access, use, modification, or disclosure.

No method of transmission over the internet or wireless network can be entirely guaranteed. While we take every reasonable precaution, we cannot warrant absolute security. In the unlikely event of a data breach that poses a risk to your rights, we will notify you promptly and in accordance with applicable law.
